When your AC or heat stops working, you want the problem handled. You also want to understand what you are approving. Before you compare the bottom line on two HVAC repair quotes, check that they describe the same work.

Start with the diagnosis, the proposed repair and what the price includes. Ask for an explanation of any substantial price difference before choosing a contractor.

1. What problem did you find?

Ask the technician to explain the diagnosis in plain language. What did the inspection or testing show? Which part or condition needs attention? How does the proposed repair address the problem you reported?

You do not need to become an HVAC technician to ask for a clear explanation. If the recommendation is unclear, ask for it in writing before deciding.

2. What work is included in this quote?

Look for a description of the repair, not just a total. Ask whether the quoted price includes the part, installation labor and the checks needed after the repair.

If you have two estimates, put them side by side. One may cover a specific failed part while the other includes additional work. Ask each contractor to explain that difference rather than assuming the prices are for the same job.

3. Are there separate charges?

Before booking, ask about the service-call or diagnostic charge and any after-hours charge that may apply. Once the repair is quoted, ask what you would owe if you approve it and what you would owe if you decline it.

If more work becomes necessary, agree on how you will be contacted and how you will approve the additional cost. Keep that explanation with your estimate.

4. What is required now, and what is optional?

Ask the contractor to distinguish the proposed repair from maintenance, upgrades or other recommendations. Have optional items listed separately so you can understand each choice.

If replacement is also proposed, request a separate explanation and quote. That is a different decision from approving a repair. Our Kenner AC replacement-cost guide covers questions specific to a new system, including equipment and installation scope.

5. What warranty applies to this repair?

Ask about coverage for both the replacement part and the labor. Who handles a problem after the work is finished? How long does the stated coverage last? Are there conditions or exclusions you should know about?

Request the applicable terms in writing. Do not assume that a manufacturer’s parts warranty covers every charge associated with a future service visit.

6. When can the work be completed?

Confirm the appointment window, whether the needed part is available and whether another visit is expected. Ask who to contact if the original problem returns and what documentation you will receive after the work.

Keep the estimate, approval and final invoice together. They give you a useful record of what was recommended and what was completed.
